PDF vs Word vs Google Docs: Which Should You Use?

It's tempting to just use whichever format you're most comfortable with, but PDF, Word, and Google Docs are genuinely built for different jobs, and picking the right one now saves you a headache later.

PDF: final and fixed

A PDF looks the same on every device and printer, no matter what fonts or software the recipient has. That's exactly why it's right for anything finished that shouldn't change — contracts, invoices, resumes, reports, anything going outside your organization.

Word: structured editing

The right call when the recipient actually needs to edit — especially documents with heavy formatting, styles, tables of contents, or templates meant to be reused. It's also still the expected format in a lot of corporate and legal workflows, particularly ones using tracked changes.

Google Docs: real-time collaboration

Built for multiple people editing at once, with autosave and simple version history. Right for drafts and brainstorming — anything actively being worked on together rather than finished and going out the door.

Moving between them

Common pattern: draft in Google Docs or Word for the editing flexibility, export to PDF once it's done so the final version is locked and can't get accidentally changed by whoever opens it.

The simple rule

Still being worked on? Word or Google Docs. Finished and needs to look the same for everyone? Convert to PDF before you send it.
